Why Pay More Than You Need to for Your Next Building Project

New Homes, Renovations, Services, Tips and Advice

In over 35 years of architectural practice, I have witnessed firsthand how a structured approach to the tender and contract administration process can deliver extraordinary value.

Recently we saved a client AUD 290,000 through a competitive tender process supported by comprehensive construction documentation.

This is not an isolated case – it is a repeated outcome we have delivered across multiple projects throughout our career.

Why construction drawings matter before tender

Many homeowners rush to get builder quotes before their design has been properly resolved through detailed architectural documentation. This is a critical mistake.

When builders receive incomplete or vague plans, they have three choices: quote conservatively with significant contingency allowances, make assumptions that may not align with your vision, or submit quotes that are substantially different from one another because each builder has interpreted the brief differently.

Detailed construction documentation prepared by your architect tells the builder exactly what needs to be built, what materials should be used, what quality standards must be met, and how specific details should be resolved. This clarity transforms the tendering process from a guessing game into a genuine apples-to-apples comparison.

At dion seminara architecture, our construction documentation includes working drawings with notations, 1:20 wall sections, detailed specifications, material schedules, and written specifications that define every aspect of quality and finish. This level of detail is the foundation that allows competitive pricing to work effectively.

The power of three competitive quotes

Going to market with three qualified builders creates genuine competition. When builders know they are competing against others with a clear, detailed scope of work, they price more competitively. More importantly, they price more accurately because they understand exactly what they are quoting.

In the case of our recent client, we put the project to tender with three established builders who regularly undertake similar work. The quotes ranged from approximately 750,000 to 1,040,000 – a difference of 290,000 dollars or roughly 39 percent.

Without detailed plans, this client would likely have approached a single builder or received quotes that bore little resemblance to one another, making meaningful comparison impossible.

The detailed construction documentation also means that variations during construction are minimised. When the builder knows exactly what is expected from day one, there are fewer surprises, fewer requests for clarification, and fewer costly changes during the build.

What happens when documentation is poor

Clients who skip the detailed architectural documentation phase and go straight to builders often experience:

Builder uncertainty about the scope, resulting in conservative quotes with built-in contingency

Significant variations and additional costs once construction reveals unforeseen conditions or design ambiguities

Quality disputes because the builder’s interpretation of vague plans differs from the client’s expectations

Prolonged construction timelines as the builder seeks clarification on design intent

Difficulty comparing quotes because each builder has made different assumptions about what should be included

We have seen projects where poor documentation led to cost overruns exceeding 50,000 to 100,000 dollars – amounts that far exceed what architectural documentation services cost.

How the SHAPE Design Method supports smart tendering

Our SHAPE Design Method ensures that by the time you reach the tender stage, your design is thoroughly resolved.

Step 1 involves our SHAPE Design Consultation where we understand your lifestyle, budget, and site constraints.

Step 2 develops your Masterplan Concept Design with integrated architectural, interior and landscape thinking.

Step 3 refines the concept with 3D visuals and material selections.

Step 4 creates detailed approval drawings.

By Step 5 – Construction Documentation – your design is locked down and fully detailed. This is the critical foundation that makes competitive tendering effective.

At Step 6, our Tender and Contract Administration service takes over.

We initiate a competitive tender process with a panel of qualified builders, negotiate on your behalf to ensure best pricing and terms, compare and analyse each tender in detail, and make professional recommendations on builder selection.

The Contract Administration advantage

Tendering and getting the best price is only part of the story. What happens during construction is equally important.

Contract Administration is where we oversee the build on your behalf. Our role includes:

Conducting regular site visits to ensure materials, design integrity and quality standards are maintained
Answering all builder questions to ensure your construction progresses without delays
Assessing and authorising progress payments, protecting your financial interests
Managing construction variations, protecting you from unnecessary cost increases
Inspecting practical completion and managing any defect rectification

For our clients, this means construction happens without stress or surprises. The builder has clear documentation and clear direction from the architect. Any questions are answered promptly. Any issues are resolved quickly. Progress is transparent and documented.

Many clients who attempt to manage builder relationships directly find themselves in difficult positions when conflicts arise or when they lack the technical knowledge to assess whether work is being completed correctly. Having your architect oversee the construction provides objective oversight and protects your interests throughout the build.

The real cost of skipping proper documentation

Consider this scenario: A client avoids architectural fees for detailed documentation and contract administration, saving perhaps 15,000 to 25,000 dollars. However, without proper documentation, they get a builder quote that includes a 10 percent contingency for uncertainty – adding 50,000 to 80,000 dollars to the price. During construction, design ambiguities and unclear specifications result in 20,000 to 40,000 dollars in variations. Quality issues mean remedial work costs additional funds.

The supposed saving of 15,000 to 25,000 dollars has resulted in actual additional costs of 70,000 to 120,000 dollars – and the client has experienced stress and uncertainty throughout the process.

By contrast, our clients invest in detailed architectural documentation and contract administration services and typically experience:

Competitive builder quotes based on clear scope
Minimal variations during construction (our detailed documentation targets variation rates below 5 percent)
Transparent progress tracking and payment certainty
Peace of mind knowing an experienced professional is overseeing quality and protecting their interests
Final results that match design intent without compromise

Why this approach delivers lasting value

The goal of competitive tendering supported by detailed construction documentation and professional contract administration is not simply to get the lowest price.

It is to get excellent value – a project built to the quality intended, on budget, on time, and without stress.

Over 35 years and more than 1,000 residential projects, we have seen this approach work repeatedly. Projects with solid documentation and professional administration deliver on their promises. Projects without these fundamentals inevitably experience cost overruns, timeline delays, and quality compromises.

Your home renovation or new home is likely one of the largest investments you will make.

It deserves an approach that protects that investment. Starting with detailed architectural design, progressing through thorough documentation, conducting competitive tendering, and maintaining professional oversight through construction is not an expense – it is the foundation of successful project delivery.

If you are considering a renovation or new home, we would be pleased to discuss how our SHAPE Design Method can guide your project from initial vision through to keys in hand – with clarity, confidence, and exceptional value.

Final thoughts

A successful renovation or new home project is not just about having a beautiful design. It is about having the right process in place to protect your budget, reduce uncertainty and ensure the final result reflects the original design intent.

Detailed construction documentation, competitive tendering and professional contract administration all play an important role in achieving this. They help builders price accurately, reduce unnecessary variations, improve communication during construction and give clients greater confidence at every stage.

However, the real benefit is not only financial. It is also the peace of mind that comes from knowing your project has been carefully documented, properly priced and professionally managed.

Before you commit to a builder or begin construction, make sure your design, scope and documentation are properly resolved. The decisions made before construction begins often have the greatest impact on cost, quality and the overall success of your project.

At dion seminara architecture, our design process begins with our SHAPE Design Consultation – a low pressure way for you to get the answers to all these questions, as well as any other information that may be relevant to your project.

Most importantly, our SHAPE Design Consultations are a way for us to proactively provide you with information regarding any challenges of your site, as well as any benefits which could be utilised in the design to maximise your project’s potential.

Frequently Asked Questions

What does contract administration mean?

Contract administration is the process of managing the building contract during construction. This can include responding to builder questions, reviewing progress claims, assessing variations, attending site meetings, checking work against the documentation and helping protect the client’s interests throughout the build.

Is the cheapest builder quote always the best option?

Not necessarily. A lower quote may appear attractive, but it is important to check what has been included, excluded or allowed as a provisional sum. The best value often comes from a builder who has clearly understood the documentation, priced the scope properly and has the experience to deliver the project to the required standard.

How long does a renovation take?

A comprehensive renovation – including design, documentation, DA approval, and construction – typically takes 18–30 months from first briefing to completion. Simpler internal renovations without a DA can be completed more quickly. Heritage listings and complex DA processes add time.

Is it worth renovating a Queenslander versus buying a newer home?

For most inner-Brisbane buyers, yes – emphatically! A well-located Queenslander on a good block, comprehensively renovated by a skilled architect, will outperform comparable newer homes on character, spatial quality, and market value. The renovation cost can be substantial, but so is the result!

Can I add a second storey to my house?

In limited circumstances, yes – but additions above the existing roofline are generally not supported under the character overlay framework. The preferred approach for adding area is to the rear and below, not above. Individual property assessment is required.

Ready to Talk About Your Home?

Every Queenslander is different! The age of the home, its heritage status, the site conditions, the budget, and the owner’s vision all shape what is possible. The starting point for any successful project is a thorough understanding of these variables.

We at dion seminara architecture are an award-winning firm with deep experience in Queenslander renovation across the full spectrum – from modest internal upgrades to comprehensive raise-and-build-under projects in heritage-listed suburbs.

We know the planning framework, we know the building style, and we know how to design homes that respect their original charm whilst still being genuinely excellent places to live.
